At Warmrelaxart, we are committed to delivering branding and identity services that meet your expectations. We understand that investing in professional branding services is a significant decision, and we want you to feel confident in your choice to work with us.

This Return Policy outlines our approach to service satisfaction, revisions, refunds, and cancellations. Please read this policy carefully before engaging our services.

Service Delivery and Acceptance

Our branding and identity services are delivered in phases, with specific milestones and approval points throughout the project. Each phase requires your review and approval before we proceed to the next stage. This collaborative approach ensures that the final deliverables align with your vision and objectives.

Upon completion of each project phase, you will have a designated review period to examine the work and provide feedback. The standard review period is seven business days unless otherwise specified in your service agreement.

Revision Policy

We believe in getting it right, which is why revision rounds are built into our service packages. The number of revision rounds included depends on the specific package you have selected:

Foundation Package: Includes two rounds of revisions per deliverable.

Growth Package: Includes three rounds of revisions per deliverable.

Enterprise Package: Includes four rounds of revisions per deliverable.

Revisions must be requested within the review period for each phase. Revision requests should be specific, constructive, and aligned with the original project scope and objectives outlined in your service agreement.

Additional revision rounds beyond those included in your package may be available for an additional fee. Please contact us to discuss your needs and receive a quote for additional revisions.

Scope Changes and Additional Work

If you request changes that fall outside the original project scope defined in your service agreement, these will be considered additional work and may incur additional fees. We will provide you with a detailed quote for any out-of-scope work before proceeding.

Examples of scope changes include but are not limited to: requesting additional logo concepts beyond the agreed number, adding new deliverables not specified in the original agreement, or significantly changing the strategic direction after approval of earlier phases.

Cancellation Policy

We understand that circumstances can change. If you need to cancel your project, please notify us in writing as soon as possible. Our cancellation terms are as follows:

Before Project Commencement: If you cancel before we begin work on your project, you will receive a full refund minus a 10% administrative fee to cover initial setup and consultation time.

During Discovery Phase: If you cancel during the discovery and research phase, you will be charged for work completed up to the cancellation date, typically 25% of the total project fee.

During Design Phase: If you cancel during the design and development phase, you will be charged for work completed up to the cancellation date, typically 50-75% of the total project fee, depending on progress.

After Final Approval: Once you have approved final deliverables, the project is considered complete and no refunds will be issued.

Refund Policy

Refunds are handled on a case-by-case basis and are subject to the following conditions:

Service Quality Issues: If you believe the delivered work does not meet professional standards or the specifications outlined in your service agreement, please contact us immediately. We will review your concerns and work with you to resolve the issue, which may include additional revisions or, in rare cases, a partial refund.

Non-Delivery: If we fail to deliver agreed-upon services within the timeline specified in your service agreement (excluding delays caused by client feedback or approval delays), you may be eligible for a partial refund or service credit.

Processing Time: Approved refunds will be processed within 14 business days and will be returned using the original payment method. Please note that depending on your financial institution, it may take additional time for the refund to appear in your account.

Intellectual Property and File Delivery

Upon full payment for services rendered, you will receive all agreed-upon final files and full ownership rights to the deliverables created specifically for your project. However, if a refund is issued or payment is not completed, we retain all intellectual property rights to the work created.

We deliver final files in industry-standard formats as specified in your service agreement. If you require files in additional formats, please let us know and we will accommodate your request when possible.

Client Responsibilities

To ensure a smooth project experience and timely delivery, clients are responsible for:

Providing timely feedback and approvals within the designated review periods.

Supplying all necessary materials, information, and access required for project completion.

Ensuring that all provided content, images, and materials do not infringe on third-party intellectual property rights.

Communicating clearly and promptly regarding any concerns or questions about the project.

Failure to meet these responsibilities may result in project delays, and we cannot be held responsible for missed deadlines caused by delayed client feedback or materials.

Satisfaction Guarantee

Your satisfaction is our priority. We work with you throughout the project to help the final deliverables meet your expectations. Our collaborative process, multiple revision rounds, and regular check-ins are designed to keep you informed and involved.

If at any point you have concerns about the project direction or quality, please communicate with us immediately so we can address your concerns and find a solution together.

Dispute Resolution

In the unlikely event of a dispute regarding services, deliverables, or payment, we encourage open communication to resolve the matter amicably. Please contact us in writing with a detailed explanation of your concerns, and we will respond within five business days to discuss a resolution.

If we are unable to reach a mutually satisfactory resolution through direct communication, both parties agree to attempt mediation before pursuing legal action. Any legal disputes will be governed by the laws of the State of Florida and handled in accordance with our Terms of Use.

Service Modifications

We reserve the right to modify our services, packages, and pricing at any time. However, any changes will not affect projects that are already underway or contracts that have already been signed. Your service agreement will honor the terms, pricing, and deliverables agreed upon at the time of signing.

Force Majeure

We shall not be liable for any failure or delay in performing our obligations under any service agreement where such failure or delay results from any cause beyond our reasonable control, including but not limited to natural disasters, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, pandemics, strikes, or shortages of transportation, facilities, fuel, energy, labor, or materials.

Third-Party Services

Some projects may require third-party services such as stock photography, custom illustrations, or specialized software. Unless otherwise specified in your service agreement, costs for third-party services are not included in our service fees and will be billed separately or require your direct purchase.

We are not responsible for the quality, delivery, or policies of third-party service providers. Any issues with third-party services should be addressed directly with the provider.

Confidentiality

We respect the confidential nature of your business information and brand strategy. All information shared during the course of our working relationship will be kept confidential and will not be shared with third parties without your explicit permission, except as required by law.

Upon request, we are happy to sign a mutual non-disclosure agreement before beginning work on your project.

Portfolio and Case Studies

We may wish to feature completed projects in our portfolio, case studies, or marketing materials. We will always request your permission before publicly showcasing your project. If you prefer to keep your project confidential, please let us know and we will respect your wishes.
